Automated stage emails

Keep candidates informed at every step without writing individual emails. Set up templates once, and hire.page sends them automatically when a candidate moves to a stage.

How it works

Each pipeline stage can have an email template. When you (or a teammate) moves a candidate into that stage, the email sends automatically — personalized with the candidate's name, your company name, and other variables.

Setting up a template

  1. Open a job and go to the Settings tab.
  2. Under Stage Emails, click a stage to configure its template.
  3. Write the Subject and Body. Use the personalization variables below to make it feel personal.
  4. Toggle the template On. From this point, moving any candidate into that stage sends the email automatically.

Personalization variables

  • {candidate_name} — the candidate's full name
  • {candidate_first_name} — first name only
  • {job_title} — the job posting title
  • {company_name} — your company name
  • {stage_name} — the pipeline stage the candidate just entered

Toggling templates on and off

You can disable a template without deleting it. This is useful if you want to pause automated emails for a specific stage temporarily.

Common templates to set up

  • New (application received) — acknowledge the application within seconds of submission
  • Reviewing — let candidates know they're under consideration
  • Interviewing — confirm the next step and what to expect
  • Offer — share the exciting news personally, then follow up with the formal letter
  • Not moving forward — a respectful rejection that preserves your employer brand

Sending emails manually

You can also send a one-off email to any candidate directly from their profile. Manual emails are logged in the candidate's email history alongside any automated messages.
