Reviewing applicants
The kanban board, the table view, the detail panel, keyboard shortcuts, and how to run a candidate review on hire.page.
The Applicants view is the home of hiring work. Every form submission across every hire page in your workspace lands here, sorted into the kanban stages you've defined.
The two views
At the top of the page you can toggle between two views:
- Kanban — one column per pipeline stage, one card per applicant. Drag cards between columns to move stages. Use this when you're actively working a pipeline.
- Table — every applicant as a row, sortable and filterable by stage, hire page, source, and applied date. Use this for review at scale.
Both views share the same filter bar.
Anatomy of a card
Each kanban card shows:
- Avatar (initials if no photo)
- Name and email
- Hire page the applicant applied to
- Applied date (relative — "2d ago")
- Average rating, if reviews have been submitted
- Comment count, if any
- Flag indicator, if flagged
Clicking a card opens the applicant detail panel as a right-side slideover without leaving the kanban.
The applicant detail panel
The detail panel has two tabs:
Overview
Everything about this applicant in one view:
- Stage picker at the top — change stage from here
- Flag toggle — visual flag for "needs another look"
- Application answers in the order the form was built. File uploads show as inline previews (PDFs preview directly; other types show as download chips).
- Internal notes — one editable text field per applicant; auto-saves as you type. Private to your team.
- Comments — threaded discussion stream.
@mentiona teammate to ping them. - Reviews — structured ratings from your team: a verdict (hire / maybe / pass), a 1–5 rating, and notes. Rolls up to an average rating on the card.

Messages
The email thread between your team and the candidate. Every stage-triggered email is logged here, and you can send a one-off email directly from this panel. Candidate replies (when reply-to is configured) thread back into the conversation.
The Messages tab is visible to the workspace owner only. Reviewers don't see candidate emails.
Moving applicants between stages
Three ways:
- Drag the card between kanban columns
- Click the stage selector at the top of the detail panel and pick a new stage
- Use the stage buttons in the detail toolbar
Every stage transition is logged on the activity feed. If the destination stage has a stage-triggered email template, the email is queued and sent in the background (see Email templates).

Source tracking
Every submission records a source: where the candidate came from. We detect this automatically from utm_* parameters, the HTTP referrer, and direct visits. Source shows up on the applicant detail panel and in the Insights dashboard.
Frequently asked
Can a reviewer move stages?
Yes. Reviewers can view applicants, move stages, write notes, comments, and reviews. They cannot edit the hire page, change form fields, edit pipeline stages, change branding, or see billing — and they don't see the Messages tab.
Can I delete an applicant?
Yes (owners only). Deletion is soft — the record is hidden but recoverable for 30 days. After 30 days uploaded files are permanently purged.
What happens when a candidate replies to an automatic email?
If you've configured a reply-to on the email template, the reply lands in the Messages tab and pings your team. If reply-to isn't configured, replies go to the no-reply default and aren't threaded.
Can I tag or label applicants?
Tags aren't supported as a separate concept in v2. Use stages, reviews (with a verdict of hire/maybe/pass), or a free-text field on the application form to categorize.
